Golder Associates is currently seeking a Group Administrator for our Walnut Creek, CA or Roseville, CA office.

 

The Group Administrator provides administrative support within a project, program or group, to provide efficient, cost effective, and value-added service to our internal and externals clients. The Administrator will be responsible for providing varied and complex office administrative support to managerial, professional and technical staff. This will involve the use of independent judgement to oversee well-defined programs and projects. This position typically reports to the Group Manager or Business Support Lead.

The ideal candidate will have demonstrated leadership skills such as organizing, problem solving, and planning, controlling and decision-making necessary for the effective administrative management of the practice sub-group. Proven capabilities in working with a busy, dynamic and demanding principle. Willingness to work flexibly and outside office hours to address urgent principle requests and subgroup needs. Generalist ability in all aspects of business management. Ability to express oneself effectively, both orally and in writing. As well as, the ability to establish effective working relationships throughout operational groups. The candidate must demonstrate confidentiality and resourcefulness. Thorough knowledge of accounting methods and procedures is a plus.

Key Accountabilities

  • General Administrative Responsibilities

 

    1. Coordinates the logistical aspects of group programs, such as meetings, workshops, special projects, and events.
    2. Prepares group-related correspondence, reports, and forms in compliance with corporate policies, must be able to proofread material for accuracy and completeness, including grammar, punctuation and spelling.
    3. Coordinate with the Group Business Manager in accumulating statistical information and preparing financial reports, and analyzing budget variances.
    4. Implements and ensures group compliance with corporate mandates pertaining to document processing, template maintenance, electronic and hard copy file maintenance.
    5. Oversees and ensures that travel arrangements are coordinated effectively for group members; i.e. booking flights, hotels and car rentals; communication of relevant information changes; tracking of all emergency contact information for travelers.

 

  • Project Related Responsibilities

 

    1. Assists project managers and technical field staff with document review to corporate standards, data management, research projects, document processing and graphics.
    2. Prepare and format reports/proposals and other documentation to meet company/client standards;
    3. Maintain accurate project files throughout the life of projects. Work with project managers to efficiently and accurately set up their projects and track that all initiation requirements are met.
    4. Maintains project databases and electronic tools.
    5. Coordinates project meetings (proposal and project); ensure reference materials are on hand.
    6. Opens proposals and project files and maintain files (setup, auditing and archiving).
    7. Prepares and expedites project deliverables (correspondence, reports, presentations, databases, proposals, maps or plans, etc.).
    8. Assists in expediting project pre-bills and invoicing (provide information required to accounting dept).

Job Requirements

  • Typical education, Experience and Professional Certification

 

    1. High school diploma required. Certification or 2-year degree in a related business focus preferred.
    2. A minimum of 2 years demonstrated experience gained through direct job experience or a combination of formal training and on-the-job training.
  • Position Specific Competencies

 

    1. Proficient with Microsoft Office Suite – high proficiency with Word and Excel required.
    2. Working knowledge of Office 365.
    3. Proficient with Adobe Acrobat Professional.
    4. Knowledge and ability to operate standard office equipment such as personal computers, photocopiers, scanners, projectors, etc.
    5. Experience with MS Dynamics or MS Access
    6. Knowledge and ability to alphabetize, numerically rank, file, sort, and batch documents and maintain general record keeping and filing systems. (paper and e-copy)
    7. Excellent written and verbal communication skills. The ability to proofread for correct spelling, punctuation, and grammar.
    8. Knowledge of general office practices, protocols, and procedures.
    9. Superior time management skills, multitasking skills, and the ability to prioritize tasks with minimal supervision
    10. A self starter, resourceful and flexible, and who has a high level of sound and independent judgement, reasoning, and discretion
    11. Professional, responsive, and positive work attitude is essential
    12. Previous experience at an A/E firm a plus
